Summary
EarnFlow is field service management software: the operating system for field service businesses. It connects scheduling, dispatch, jobs, estimates, invoicing and payments, so each job moves from the schedule to the invoice without being typed twice. AI Dispatch plans and routes the day, and six agents follow up on customer updates, late payments, unbilled work, recurring service, capacity and reviews. Every agent asks a person before it acts, unless the business switches it to automatic.
There is one plan with everything included: $59 a month for the organization including the first user, plus $19 a month for each additional user, billed in Canadian or US dollars. Yearly billing is 12 months for the price of 10. There is a 30-day free trial and no contract. EarnFlow is made by EarnFlow Inc., a software company in Toronto, Canada, and launched in October 2026.

What's live today
Scheduling and dispatch
- A calendar and dispatch board with every technician's week; drag a visit to move it. Unscheduled jobs and unassigned visits stay visible until they are placed.
- AI Dispatch, with three parts: the Scheduler plans visits onto each technician's day, the Dispatcher assigns work by skills, crews, drive time and customer windows, and Autopilot can plan each day on its own. Continuous dispatch places new jobs as they come in.
- A live map of every crew that is checked in, with each crew's route along the roads. When a better order exists, EarnFlow shows what it saves in minutes, kilometres and dollars, and high-priority stops go first.
- Recurring visits and multi-day jobs.
In the field
- My Day, in any phone's browser: the route, the next stop, the customer's number, gate codes, notes and photos. "On my way", start and complete update the office in real time.
- Time tracking with check-in and check-out, timesheets, and a location shared only while a person is checked in and has agreed at check-in.
- Job photos, videos and documents, scanned for malware and kept in private storage.
Sales and money
- Customers, properties and a catalog of services, materials and rates.
- Estimates priced from the catalog and approved by the customer from an email link, with no account needed. The Estimator drafts an estimate from a description of the work.
- Invoices created from the approved estimate and the completed job, with payment plans and a status history.
- Online payments by card, Apple Pay and Google Pay, from the invoice email or by scanning a QR code at the job.
- Canadian sales tax on estimates and invoices (GST, HST, PST and QST), with the business's registration numbers printed.
- Online booking: a link or website embed where customers choose a service and an arrival window with a free technician.
- Service agreements (maintenance plans), approved online, with visits, billing and renewals on schedule.
The six agents
Each agent can be set to Off, Suggest (proposals wait in one review inbox) or Auto (it acts on its own), and a monthly impact report shows what they did.
- Customer updates: booking confirmations, day-before reminders, and "on my way" and "running late" updates, by email from templates the business can edit.
- Collections: reminders for overdue invoices on the days the business sets (1, 14 and 30 days late by default), each with a pay-online link, and payment plans for large balances.
- Revenue recovery: drafts invoices for finished jobs nobody billed, to the cent of the approved estimate, and follows up on estimates that went quiet.
- Recurring service: books the next visits of recurring jobs and service agreements at the customer's usual time, with the same technician.
- Capacity: forecasts technician hours against the work ahead, flags busy weeks and overtime, and says how many more people are needed.
- Review requests: after a job is completed and paid, thanks the customer and asks for a Google review. Never with an incentive, and never only the happy customers.
Team and office
- Team chat with channels, direct messages, mentions and reactions; schedule notifications.
- Roles (Owner, Administrator, Dispatcher, Office, Technician, Read-only) and detailed permissions.
- Performance: goals, feedback, reviews, one-on-ones and an on-time report.
- Reports with CSV export and scheduled email reports.
- A public REST API with organization-scoped keys, webhooks and request logs. API documentation is available on request.
What's coming
- Texting customers from the business's own number: built and waiting for carrier registration. The plan will include a monthly text allowance. Until then, every confirmation, reminder and follow-up goes by email.
- QuickBooks Online sync: customers, items, invoices and payments, with payments syncing both ways. Built, not yet switched on.
- Native iPhone and Android apps, planned for Winter 2027: My Day that works offline, push notifications, and Tap to Pay on iPhone. Until then, the web app works in any phone's browser.
- Payroll and other accounting connectors: on the roadmap, with no date yet.
Features that switch on later are included at the same price.
What EarnFlow doesn't do today
- Text customers (coming, see above). Customer messages go by email.
- Sync with QuickBooks or other accounting software (QuickBooks Online is coming). CSV exports, scheduled reports and the API cover the gap.
- Run as a native mobile app or work offline. The web app needs a connection.
- Connect to vehicle GPS units. Crew locations come from the phones of people who are checked in.
- Read weather forecasts or snowfall totals.
- Hold a third-party security attestation such as SOC 2. The controls are published on the security page.
Where EarnFlow is available
EarnFlow is a Canadian company, headquartered in Toronto, Ontario, and works with businesses across Canada and the United States. Subscriptions are billed in Canadian or US dollars. Invoices that businesses send their customers can carry any Canadian provincial sales tax rate. The service and its data are hosted in Canada, and personal information is handled under Canada's PIPEDA and applicable provincial law. The software is in English.
EarnFlow's first focus is landscaping, lawn care and snow removal companies in Ontario, with deeper pages for landscaping, snow removal and lawn care.
How EarnFlow uses AI
- AI Dispatch and the six agents are not a chatbot. They are optimizers and rules that run on EarnFlow's own servers. They don't use a language model and send no customer data to an AI provider. The same inputs give the same result, and every suggestion comes with its reasons.
- The Estimator drafts estimates from a description of the work using Claude by Anthropic, and only after each person gives consent. Prices come only from the business's catalog. Administrators can see its usage and set limits per person.
- EarnFlow Support AI uses Claude to help with support questions, and reads an account only under a support access the customer approved.
- Anthropic's commercial terms don't allow training on EarnFlow customers' data.
- There are no per-use AI fees. AI Dispatch, the agents and the Estimator are included in the plan.
- Nothing reaches a customer or changes the schedule until a person approves it, unless the business has switched that agent or Autopilot to act on its own.
Security and privacy
- Two-factor sign-in with an authenticator app is required for every user, with ten recovery codes and lockout after repeated failures.
- A tamper-evident audit trail: every change is recorded, chained with HMAC-SHA256 signatures and re-verified every day.
- EarnFlow staff can't see a customer's data unless the customer approves a time-limited support access, and every read under it is logged.
- Each organization's data is kept separate on every request; roles decide who sees customers, finances and HR fields.
- Encryption in transit everywhere, and secrets encrypted at rest.
- Nightly backups, copies kept off the server, and a test restore every week.
- EarnFlow never holds customer funds and never sees card numbers; Stripe handles payments.
